The Schedule screen offers a comprehensive view of all your activities. And allows you to self-schedule.
View your schedule
All your activities (shifts and events) on your schedule are displayed on the calendar. You can scroll up and down to view past and future activities. Tap the calendar symbol on the top bar brings up a date picker, with which you can quickly jump to a specific date. To jump back to “today”, tap the crosshairs symbol next to the calendar symbol.
Your facility may choose to temporarily hide schedule details from employees while a it is being balanced after the self-scheduling ended. In this case, you will not be able to see your activities on the schedule until your facility finishes the balancing the schedule and opens it up for employees to review.
Switch facility
When you have joined multiple facilities, the Schedule screen will show activities of one of the facilities in more detail while showing activities of other facilities in a more concise format. E.g., shifts and events are shown as "pills" instead of full-size circles. This is intended to prevent the UI from getting too crowded while still providing a complete picture of all your activities. Use the action bar located near the bottom of the screen to switch facilities if you want to view activities of a different facility in more detail. The facility selection will also affect self-schedule, which will be covered later in this chapter.
Legends and indicators
A lot of information on the Schedule screen is shown in various indicators. If you need a quick reference to these indicators, tap the triangle symbol next to the Schedule screen title, then tap the question mark symbol to bring up the Information action sheet.
View activity details
Tapping on any date on the calendar takes you to the Daily details screen, where you can view more details of your activity on the selected day, along with access to other information such as the list of colleagues working on that day.
Each facility you have joined is shown as a card on this screen. And if you have a shift or an event in a facility on that day, details of the shift/event are shown on the respective card.
When a shift has additional details such as comments, flags, or sitter room numbers, an info symbol (a circle with the letter “i” inside) will show up on the card. Tapping it brings up an action sheet showing these additional details.
If you facility choose to hide schedule details while it is being balanced, you will not be able to see any activities on the Daily details screen until your facility finishes balancing the schedule and opens it for employees to review.
Regardless if you have any activities on the selected date, you can tap the Colleagues button on each facility card to view the list of colleagues working in your unit on that day.
If you have a request pending approval on the selected date, a Request button will appear on the corresponding facility card, as well as a red dot indicator in its top right corner. Tapping the Request button takes you to the Request details screen. Refer to the requests chapter for more details on how to handle requests.
Self-schedule (partner facility)
To self-schedule, first make sure you have selected the intended facility on the action bar.
When the facility you selected has partnered with us, the pen symbol on the right of the action bar will only become enabled during its permitted self-schedule time window. Tapping it brings up the options for adding/deleting shifts and events, or marking your availability (if allowed by your facility). Tapping one of these options enters the edit mode of the corresponding type of activity.
Add/delete shifts
To add or delete shifts during the self-schedule time window, tap the pen symbol on the action bar and choose the Shift option from the list. The action bar will expand and show you a list of shift types permitted for self-schedule. Typically, only your primary shift type will show up here, although some facilities may allow self-scheduling non-primary shifts. Depending on your facility you may also have the option to enter the start and end time of your shifts if they are not always the same as the default start/end times of the corresponding shift type. And, if the selected facility allows/requires its staff to self-schedule on-call shifts, an On-call option will also show up on the list. Choosing it expands the action bar and shows you a list of on-call shift types configured by your facility.
Self-schedule with limited openings
It is typical for facilities to set a cap on the maximum number of shifts per day per unit. In this case, any dates still available to self-schedule will have the opening indicator displayed on them (appears as a solid horizontal bar). Tap a date with the opening indicator to add a shift. Long press the same date to delete the shift you just added. If all openings on a date have been filled, the indicator will disappear.
The facility could set a different cap on the maximum number of on-call shifts per day per unit. And when you choose On-call in the previous step, a different opening indicator will be displayed on dates with available on-call slots (appears as an outlined horizontal bar). Tap a date with the opening indicator to add an on-call shift. Long press the same date to delete it. If all openings on a date have been filled, the indicator will disappear.
The facility could also set a minimum shift requirement, which would require you to schedule certain number of shifts during specific time period (e.g., in the weekends). In such case, a prompt message will show up on the self-scheduling UI when you have not met the requirement.
In the case of self-scheduling with limited openings, changes are immediately saved as you add or delete shifts. Therefore, when you are done, just tap the X symbol on the action bar to exit edit mode.
Self-schedule without opening limits
Some facilities may allow their staff to self-schedule on any future dates without a limit on the number of shifts per day per unit. In this case, adding/deleting shifts is similar to what is described above, except for the following.
- There will be no opening indicators, and you can add shifts on any future dates. Past dates will always be disabled.
- Changes are not immediately saved. When you are done adding/deleting shifts, you need to tap the
savesymbol (a floppy disk) on the top bar to save changes and exit edit mode. - You can also undo your changes since the last save. To do so, tap the
erasersymbol on the top bar.
If you want to exit edit mode without saving the changes you just made, tap the X symbol on the action bar. An alert will pop up asking you to confirm.
Mark availability
If the selected facility allows its staff to mark themselves as available (i.e., available to take shifts if needed), the Availability option will show up when tapping the pen symbol on the action bar. Choosing this option expands the action bar and shows you a list of shift types permitted for marking availability. Typically, only your primary shift type will show up here.
Tap a date to mark yourself as available on that day. Long press the same date to unmark. Use the save symbol (a floppy disk) on the top bar to save changes and exit edit mode. Or use the eraser symbol next to it to undo your changes since the last save. If you want to exit edit mode without saving the changes you just made, tap the X symbol on the action bar.
Add/delete events
Events are typically non-working activities such as day-off, classes, etc. By adding events to your schedule, the facility management or nursing operations will be aware of the dates you will not be able to work when they balance the schedule.
To add or delete events during the self-schedule time window, tap the pen symbol on the action bar and choose the Event option from the list. The action bar will expand and show you a list of event types permitted for self-schedule.
Select an event type, then tap a date to add an event of that type. Long press the same date to delete the event you just added. Dates on which you cannot add an event will be disabled (indicated by a lighter text color), such as days you already have shifts, other events, or pending requests.
Use the save symbol (a floppy disk) on the top bar to save changes and exit edit mode. Or use the eraser symbol next to it to undo your changes since the last save. If you want to exit edit mode without saving the changes you just made, tap the X symbol on the action bar.
You will need to submit requests if you want to add events outside the self-schedule time window. Also, your facility may require certain events to go through a request and review process. Refer to the requests chapter on how to create requests.
Self-schedule (non-partner facilities)
When the facility you selected has not yet partnered with us, the pen symbol on the right of the action bar will always be enabled. Tapping it brings up the options for adding/deleting shifts and events. Tapping one of these options enters the edit mode of the corresponding type of activity.
Manage shift
To manage your shifts at a non-partner facility, tap the pen symbol on the action bar and choose the Shift option from the list. The action bar will expand and show you a list of pre-configured shift types along with the option to change the start or end time of each shift type.
To add shifts, select a shift type (change the start/end time if necessary), then tap a date to add a shift of that type. In this case, you can add multiple shifts on a single day as long as their start/end time do not overlap. Long press the same date to delete all shifts you have added to it.
If you have added multiple shifts on a single day and you only want to delete some of them, tap the trash can symbol on the left of the expanded action bar, then tap the date. A list of shifts on that date will appear on the action bar. Tap the trash can symbol to the right of a shift to delete it.
When you are done managing your shifts, use the save symbol (a floppy disk) on the top bar to save changes and exit edit mode. The eraser symbol next to it can be used to undo your changes since the last save. If you want to exit edit mode without saving the changes you just made, tap the X symbol on the action bar. An alert will pop up asking you to confirm.
Manage event
To manage your events at a non-partner facility, tap the pen symbol on the action bar and choose the Event option from the list. The action bar will expand with an all-day event titled "New event" pre-populated.
You can enter a different name for the event, then tap a date to add it to the calendar. Long press the same date to delete the event you just added. If you want to customize the start time and end time of the event, toggle off the All-day switch to reveal related options.
When you are done managing your events, use the save symbol (a floppy disk) on the top bar to save changes and exit edit mode. The eraser symbol next to it can be used to undo your changes since the last save. If you want to exit edit mode without saving the changes you just made, tap the X symbol on the action bar.
